Small businesses: when no one is free to answer customers

In a small business, the same person serves, takes payment, delivers and answers messages. When a customer comes to the counter, the phone waits. When the phone rings, the customer at the counter waits.

It's not a lack of will. It's a lack of people.

Hiring someone to answer: a hard job to keep filled

Hiring someone for the front desk means a salary every month, even on quiet days. You have to train them on prices, hours and services. And when they leave, you start over.

Requests, though, don't come during office hours. They come in the evening, on weekends, during the lunch rush. Those are exactly the times when no one is free.

What being short-staffed costs you

  • Sales. A customer who gets no answer writes to a competitor. They don't come back to tell you why.
  • Time. The owner answers the day's questions late at night, from their phone.
  • Information. An order written on a scrap of paper, an appointment kept in someone's head: some of it gets lost along the way.
  • Quality. An answer given in a hurry, between two customers, is often incomplete.

What you can hand off, and what you keep

Most messages look alike. Opening hours. The price of a service. Whether you have a free slot. An appointment request. These questions need a correct and fast answer, not one more person.

This is the part Angelus takes care of. It replies on WhatsApp, at any hour, in French, English or Swahili. It notes the request, books the appointment and puts everything in a Work plan. Your team sees what's left to do: call back, confirm, deliver.

What needs your attention stays with you: an unhappy customer, an unusual order, a price to discuss. When you write to a customer, the assistant stops replying to that customer for 30 minutes: you take over whenever you want. If the customer waits 7 minutes without an answer, the assistant picks the conversation back up.

Start small

No need to change everything at once. Many start with just one thing: never leaving a message unanswered again. The rest comes as you get used to it.

A small team can't be everywhere. But it can choose where it spends its time.
